What is Popouts and why is it used?

Why Popouts Exists

Popouts was born from a very personal workflow.

As a busy executive managing multiple meetings every day, I struggled with two extremes. On one side were sophisticated meeting tools with transcription, AI summaries, integrations, and dashboards. They generated a lot of information — but often failed at the simplest outcome: a clear, reliable list of things I needed to do.

On the other side were simple to-do lists. They were great for capturing tasks quickly, but they lacked context. Weeks later, it was difficult to remember why a task existed, what meeting it came from, or what exactly was agreed. And because notes were usually written in a hurry, they were often incomplete or hard to search.

Over time, I developed a system that worked: keep the agenda, notes, and action items together — tied to the meeting itself. Everything in one place. Simple. Fast. Searchable. Reliable.

Popouts is the extension built around that experience.

Designed for How Executives Actually Work

For most executives and professionals, meetings fall into three categories:

  • 1:1 meetings with direct reports, peers, or managers
  • Recurring meetings to manage projects and ongoing work
  • Ad-hoc or one-off meetings that still produce commitments

Each of these meetings needs only a few essential things:

  • A place to prepare an agenda
  • A place to capture notes during the meeting
  • A place to extract and track action items

When all action items live in one place — alongside their context — it becomes easy to follow through, close tasks, and add personal to-dos when needed.

Beyond that, most features found in complex tools — deep integrations, automatic prioritization, sharing workflows — add overhead and are rarely used consistently.

Popouts intentionally avoids that complexity.

What Popouts Does

Popouts is a lightweight Chrome extension that lives in your browser and focuses on the essentials:

  • Prepare your agenda before the meeting
  • Capture notes quickly during the meeting
  • Extract and track clear action items afterward

No dashboards. No forced workflows. No unnecessary complexity.

Just a simple system that helps you remember what matters — and get it done.

Why Not Just Use a Notes App?

You could. But notes alone don't solve the problem.

Popouts connects agenda → notes → action items → closure, all tied to the meeting. That structure preserves context and makes follow-through effortless.

Because the goal isn't to take more notes. It's to make sure things actually get done.

How to use it

Popouts keeps meetings simple. You can create meetings, add agenda items, and write notes — all in one place.

2.1

Meeting categories

Popouts has only three types of meetings:

  • 1:1s — meetings with your manager, team members, or peers
  • Recurring meetings — regular meetings like weekly reviews or project syncs
  • Adhoc meetings — one-off or unplanned meetings

These three categories are enough for most people. No tags, labels, or extra setup needed.

How to create a meeting

Creating a meeting takes just a few seconds:

  1. Go to the Meetings list
  2. Click the + Add button
  3. Type the meeting title
  4. Press Enter

That's it. Your meeting is created.

You can edit the meeting title anytime by clicking on it.

There is no limit to how many meetings you can create during the beta.

How to add agenda items

When you select a meeting, you'll see the Agenda section with three tabs:

  • All — shows everything
  • Open — shows items not yet covered
  • Closed — shows items already covered

To add an agenda item:

  1. Click on the meeting
  2. Go to the Agenda section
  3. Type your agenda in the first line (no button needed)
  4. Press Enter

The item will be added to the list.

You can add agenda items only in the All and Open tabs.

How to close or reopen agenda items

During or after the meeting:

  • Click the radio button next to an agenda item to mark it as covered
  • Closed items will show a strikethrough
  • You can see all closed items in the Closed tab

If needed, you can reopen an item by clicking the radio button again.

This helps you quickly see what's done and what's still pending.

How notes work

Notes in Popouts are intentionally simple.

  • Notes are plain text only
  • There is no formatting (no bold, colors, or styles)
  • This keeps notes fast, clean, and easy to read later

How to add notes

To add notes:

  1. Select a meeting
  2. Go to the Notes tab
  3. Type your notes in the Today's card

You can write notes anytime during the day.

Notes from previous days are visible, but cannot be edited. This keeps your notes accurate and prevents accidental changes.

Simple tip

Use agenda items to track what needs to be discussed. Use notes to capture what actually happened.

Together, they give you full context without extra complexity.

Action items

Action items are the things you need to do after a meeting. Popouts can create them automatically from your notes, and you can also add your own.

3.1

How automatic action items work

Popouts has an AI agent that reads your meeting notes and creates action items when it finds something that needs to be done.

Here's how it works:

  • Action items are created automatically from the notes you write
  • If you edit your notes later, action items will be updated or new ones may be added
  • If there are no clear actions in the notes, nothing will be created
  • Action items are not created when notes are deleted
  • This happens in the background — even if the popup is closed or you move away from the browser

You don't need to click anything. Just write notes, and Popouts will take care of the rest.

3.2

Always review AI-generated actions

Since action items are created using AI, you should always review them.

Most of the time they'll be correct, but it's good to quickly check and make sure they reflect what actually needs to be done.

You can edit, close, or ignore them as needed.

How to add your own action items

You can also add action items manually.

To add one:

  1. Select a meeting
  2. Go to the Actions tab
  3. Type your action in the first line
  4. Press Enter

This is useful if something important was discussed but not captured automatically.

How to close or reopen action items

Action items work just like agenda items.

There are three tabs:

  • All — shows all action items
  • Open — shows pending action items
  • Closed — shows completed action items

To close an action item:

  • Click the radio button next to it
  • It will get a strikethrough and move to the Closed tab

To reopen it, click the radio button again.

This makes it easy to track what's done and what's still pending.

Consolidated view of action items

The consolidated view is one of the most useful parts of Popouts. Instead of opening each meeting to check what's pending, this view shows all action items from all meetings in one single list.

It also works as a running to-do list, so you can add and track personal tasks that are not tied to any meeting.

How to access it

  • Click the Actions tab in the main navigation at the top of the extension
  • You'll see all action items grouped by meeting, with open items shown first

What you can do here

  • See everything in one place — all action items across meetings
  • Use it as a personal to-do list — add tasks that didn't come from any meeting
  • Filter by status — view All, Open, or Closed items
  • See the meeting context — each item shows which meeting it came from
  • Close items quickly — mark them done without opening the meeting
  • Get a quick overview — see everything you need to do at a glance

When to use it

  • At the start of your day, to see what needs to be done
  • During the day, to add personal tasks and track progress
  • At the end of the week, to review what's still open
  • Before recurring meetings, to check what was supposed to be completed

Changes sync automatically

You can close, reopen, or add action items directly from this view.

Any changes you make here will automatically reflect in the related meeting as well.

Settings

Popouts keeps settings simple. This section explains your trial and license status, and how to export or import your data.

5.1

Trial and license

When you first install Popouts, you'll be on a trial version.

During the trial:

  • No license key will be shown
  • You'll see a message that you are in trial mode
  • The trial expiry date will be displayed

Once the trial expires:

  • You'll see a message that your trial has expired
  • You can request a license by entering your email address
  • You'll receive a license key by email
  • Enter the same email address and license key in Settings to activate it

After activation, your license status and expiry date will be visible in Settings.

5.2

What requires a license

A license is required only for automatic action item generation from notes using AI.

Everything else will continue to work even without a license, including:

  • Creating meetings
  • Adding and closing agenda items
  • Writing and viewing notes
  • Adding action items manually
  • Viewing and managing all your existing data

Your data is never locked or removed if your trial or license expires.

5.3

Export your data

Export allows you to download all your Popouts data in JSON format.

The export includes:

  • All meetings
  • All agenda items and their status
  • All notes
  • All action items and their status

To export:

  1. Open Settings
  2. Go to the Data section
  3. Click Export All Data

A JSON file will be downloaded. You can keep it as a backup or use it to restore your data later.

5.4

Import your data

Import allows you to restore or add data from a previously exported file.

Important things to know:

  • Import will add meetings, agenda items, notes, and action items
  • It will not remove or replace existing data
  • Importing the same file multiple times will create duplicate entries
  • Import does not automatically merge duplicates

To import:

  1. Open Settings
  2. Go to the Data section
  3. Click Import Data
  4. Select your JSON file

Important: Data is stored locally

All Popouts data is stored locally in your browser.

This means:

  • Reinstalling the extension will wipe your data
  • Refreshing the extension or clearing browser data may wipe your data
  • Data does not automatically sync or backup

To avoid losing your data, you should export regularly.

Export and import are the only way to backup and restore your Popouts data.
